Terms and Conditions

1. Introduction

Welcome to Sport Photo Codes, a project operated by Nate Koppelman Photography LLC (doing business as Sport Photo Codes), a company registered in the State of Washington, USA. By accessing or using this site, you agree to these Terms and Conditions ("Terms").

2. Account Registration and Use
  • You must create an account and verify your email address to use the site.
  • Free trials are limited and users may not create multiple accounts to extend access.
  • Account sharing is strictly prohibited. Each account must be used only by the individual who registered it.
3. Subscriptions and Billing
  • The service is currently offered as a free preview. Paid plans are not yet active, and the billing terms below apply once paid subscriptions launch.
  • Sport Photo Codes will offer monthly and annual subscriptions managed through our billing provider.
  • Subscriptions auto-renew unless cancelled in advance through your account billing portal.
  • No refunds are issued for partial months or years.
4. Service Description and Limitations

Our service allows you to generate downloadable code files for sports photography captioning. While we strive for data accuracy, we do not guarantee the accuracy or completeness of any data. Data is regularly updated but may become outdated or contain errors due to third-party sources.

5. Acceptable Use
  • You may not scrape, bulk download, or reverse-engineer the site or its contents.
  • You may not use the service to develop a competing product or service.
  • We reserve the right to suspend or terminate your account at our discretion if you violate these Terms.
6. Intellectual Property

All content, code, and systems are the property of Nate Koppelman Photography LLC (d/b/a Sport Photo Codes). You are granted a limited, non-exclusive license to use the service as intended. You do not acquire any ownership rights.

7. Feedback and Suggestions

We welcome your input. By submitting feedback or edits, you grant us the right to use that input to improve the system without compensation.

8. Limitation of Liability

We do our best to provide a reliable service, but we are not liable for downtime, data issues, or losses resulting from your use or inability to use the site. Your use is at your own risk.

9. Indemnification

You agree to hold us harmless from any claims, damages, or liabilities arising from your use of the service or your violation of these Terms.

10. Jurisdiction and Governing Law

These Terms are governed by the laws of the State of Washington. All disputes must be brought in a court located in Washington State.

11. Changes to These Terms

We may update these Terms at any time. We'll notify users via email or a notice on the site. Continued use of the service after changes means you accept the revised Terms.

13. Trademarks

Sport Photo Codes is an independent tool. It is not affiliated with, endorsed by, or sponsored by any third-party software provider, including Camera Bits, Inc. (Photo Mechanic), Ergonis Software (Typinator), and the AutoHotkey project, nor any sports league, team, governing body, photo agency, or wire service. All third-party names and logos are trademarks of their respective owners, used here for descriptive and compatibility purposes only.

Sport Photo Codes ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our website and services.

1. Information We Collect
  • Account Information: When you create an account, we collect your name, email address, and optionally your company or organization name.
  • Usage Information: We collect usage data through tools such as Google Analytics, including pages visited, features used, and session data.
  • Cookies: We use session cookies required for login and system functionality (such as session ID and token issuance). We do not use cookies for marketing purposes at this time.
  • Support communications: When you contact us or submit feedback, we store your message, the email address you provide, and basic context (the page you were on and your browser's user-agent) so we can respond and reproduce issues.
2. How We Use Your Information
  • To provide and maintain the service
  • To detect and prevent fraud, abuse, or misuse (e.g., account sharing or scraping)
  • To improve our service, such as by analyzing usage trends or considering common user edits
  • To communicate important service-related messages (e.g., password resets, verification)
3. Data Retention and Deletion

We retain user data while accounts are active. You can delete your account at any time from the Account page, which removes your data from our system. We also delete user data upon request or after 12 months of account inactivity, although financial records may persist in Stripe for legal compliance purposes. To request deletion, use our contact form.

4. Sharing Your Information

We do not sell or rent your data to third parties. We share information only with trusted third-party services necessary to provide the service, such as:

  • Stripe (payments)
  • Mailgun (email verification)
  • Google Analytics (site analytics)
  • Render (hosting and security infrastructure)

We may in the future use Meta (Facebook/Instagram) or Google Ads for advertising, and will update this policy if and when that occurs.

5. International Users & Your Rights

If you reside in the European Union, United Kingdom, Canada, or California, you may have the right to:

  • Access a copy of your personal data
  • Request corrections or deletion
  • Withdraw consent for data usage
  • File a complaint with your local data protection authority

6. Age Requirements

Our service is intended for users age 16 and older. We do not knowingly collect data from users under 16. If you believe a child under 16 has created an account, please contact us immediately.

7. Security

We use HTTPS encryption, secure password storage (Django defaults), and encrypted hosting via Render. While no system is 100% secure, we take reasonable steps to protect your data in transit and at rest.

8. Changes to This Policy

We may update this policy from time to time. We will notify users by email or prominent notice when significant changes are made.
